Email for Your Business: Top Tips and Tricks

Email for Your Business: Top Tips and Tricks
There is no doubt that email is a big part of our daily life. Everyone uses email nowadays, whether it is for professional or personal purposes. Email is such an important tool that our Android phones and the services we can access on them are tied to our email address (or email addresses).

Thanks to smartphones, Android as a mobile operating system, and the tools and services available for this platform, you can now take emails to the next level even when you’re on the go. As a professional or a business owner, this is a huge plus.

Email for your business is a capable tool, especially when you know how to use it effectively. To help you gain more from the use of business emails, here are some of the top tips and tricks you can use.

Use Gmail’s Filters

The recently-updated Gmail app now comes with a lot of new tools. Before we get to other tools added in the last update, let’s take a closer look at filters and how they can really help you stay on top of your business-related tasks.

Using filters, you can actually direct emails into groups or folders, mark emails differently based on their content or other parameters, and even let certain emails go straight to archive so that your inbox remains clutter-free. You can start adding filters to your email addresses even when you’re not using Gmail’s email service; the Gmail app supports other email addresses too.

Speaking of the Gmail app, you can also fight spam and unwanted emails by using this app as your default email client. There are other mail apps available for Android, but you can never go wrong with Gmail.

New Tools at Your Disposal
As mentioned before, the Gmail app was recently updated. Google added a lot of new features that are handy for business users. At the top of that list, there’s the new Snooze functionality. This isn’t a new function in email apps (even Google’s Inbox had it already), but it is the first time the feature has been implemented on Gmail and the native Gmail app.

Another handy feature to use is email scheduling right within the Gmail app. You no longer have to rely on third-party apps just to be able to send emails at certain times. Scheduling allows you to write replies to the emails you receive at night – when distractions are at minimum – and have the replies sent in the morning.

Know the Etiquette
Just like other business communications, knowing how to use email properly is a huge plus when you are a business owner. Whether you are connecting with the customers, replying to emails from vendors, or trying to build a relationship with new clients or investors, sticking with email etiquette is a must.

Since we’re talking about emails on mobile devices, the first thing to remember is to keep it simple. The recipient is most likely reading the emails you send on a mobile device too and reading long emails on smartphones is never fun.

You also want to keep the subject line clear and concise. Make sure the recipient can get a good idea of what the email is all about from the subject line. After multiple replies, for example, cleaning up the subject line is a good idea.

Go for Marketing
There are so many other ways to use email, including for promoting your business. You can add a signature to the bottom of every email as a way tolet others know more about your business. When crafted correctly, the email signature you add to every email can be a powerful marketing tool nonetheless.

Another way to use email to boost your business is through newsletters. Once again, putting yourself in the shoes of recipients is how you craft newsletters that are incredibly compelling and effective. You can use newslettertemplates as a starting point. Test different templates and choose one that works well for mobile devices before customising your message further.

Moderation is the key here; it is the key with most email communications. You don’t want to bombard your recipients with emails and marketing materials, so avoid using big signatures that take up half of the smartphone screen. Oh, and make sure you limit your business newsletter’s frequency too.

Be the Recipient

The things that annoy you as an email user are most likely annoying for others too. Things like using SMS phrases that aren’t always easy to understand in emails and adding a signature to every reply you send (causing several of them to appear in the chain) must be avoided.

Fortunately, you now have more apps to help you use emails effectively. Don’t want to add a signature to replies? Adjust your email settings and you’re good to go. Want to keep your inbox clear from clutter? Use filters and folders to your advantage. You’ll be using emails like a pro before you know it.

Digital Kanban Boards Go Mobile: Is This the Future of Project Management?

Digital Kanban Boards Go Mobile: Is This the Future of Project Management?
Have you heard about the Kanban process? If you haven’t, then chances are that it is probably already implemented in one form or another in your workplace, you just didn’t know it was the Kanban process! If you are unfamiliar with the world of Kanban, essentially what this is, is a method of managing knowledge work and there is an emphasis on work being completed just in time, whilst not overloading team members. Kanban is a process that was first used in the mechanical engineering process, however, it is now used across all industries, and IT development is a sector has recently also adopted the Kanban method.

Visual Project Management

The Kanban process is fantastic for those who are visual thinkers. With this process, you will be able to see all your work laid out on the task board and you can see exactly what work you need to achieve in order to complete a task. The Kanban process is also great as it acknowledges that workers will be overwhelmed when there are too many tasks on their board and that keeping work pared down to the basics will ensure workers continue to stay motivated.

So, how do online Kanban boards work? Well, each time you have a task that needs to be completed, this should be written on its own specific card and it should then be placed on the Kanban board online. Kanban boards are great to organise work as you can categorise them according to their own criteria and you can then move them along your board to show how far along they are in the process and this will also give you a good idea of how much work still has to be completed for this task. It is also very satisfying to see the cards eventually end up in the done column at the very end of your board.

While Kanban was once restricted to just being a physical board, it has now moved online and into the digital world and there are now some amazing visual project management apps that can really benefit the efficiency of your workplace. These online digital boards and apps will help managers get the most out of their team and will allow you to complete projects smoothly, on time and to a high quality.

Are Online Kanban Boards the Future?

So, you may be wondering whyyou need an online kanban board and what an app can offer you that a physical board cannot. The biggest advantage with using Kanban boards online is that everything is happening in real time. This is especially important for those businesses who have staff and offices based across the world as anyone can make a change anywhere in the world and staff in all other offices will be able to see these changes in real time.

Another major reason why digital Kanban boards are far more popular nowadays than physical boards is simply due to the fact that they are portable. So, team members don’t have to be glued to a physical Kanban board and instead they can access and modify task boards while on the go. Many digital Kanban boards also have apps now too, which means team members can access all of their work tasks with just the touch of a button. These apps will give you a process for managing documents and it is far easier to provide other team members with the documents that they need to be able to work on the tasks that they have been assigned to.

What many people find great about online Kanban boards and Kanban apps is that they are a communal place too. A Kanban board quickly becomes the natural gathering hub where members of staff can discuss any issues that they may be facing with their assigned tasks, colleagues can help each other to solve problems and you can also learn from each other. Kanban boards show the accountable record of workflow and as everyone can see the discussion being held on here, this promotes transparency and a collaborative approach within the work place which is absolutely essential for effective project management.

Final Thoughts

As more and more businesses implement online digital Kanban boards into their workplace, it looks like we are only set to see a rise in this being used in future project management projects. If you feel like your current project management structure is not up to task, why not implement a Kanban digital board. This will allow staff to be held accountable for their own tasks, improveproductivity and you will be able to make your business, as a whole, more efficient.

The team posted on Github the Initial manifest files for LineageOS 16 based on Android Pie, although that doesn't mean a LineageOS 16 release date is available.

With Android 9.0 Pie, you'll get new Swipe Gesture navigation, Rotation suggestion, Adaptive Battery and Adaptive Brightness, Smart replies, App actions, Text selection, Redesigned Quick Setting tiles and Notification Panel, Redesigned Volume Options, Brand new Settings, Privacy, Digital Wellbeings (Dashboard) and Winddown Mode, and more...

That said, we'll keep you updated with every news of the LineageOS 16. Stay tuned to our FacebookTwitter, and Telegram to get the first News.
